Terms and conditions for the Conference
Conference Fees must be paid in full, 4 weeks prior to at the time of registration. You may obtain tickets to the conference at registration, if there are still spaces available. We recommend that you book in advance. We accept payments in the following forms: Bank Transfer, Credit Cards or Paypal.
Cancellation, refund and non-attendance policy
Cancellations
If you wish to cancel your booking/s please consider the following cancellation conditions:
- 6 Weeks or more prior to conference – Full refund of conference fees, minus a £12 processing fee.
- Between 6 and 4 weeks prior to the start of the conference – 50% refund of conference fees
- Up to 4 weeks or less prior to the conference – No refund of conference fees
If you cancel your registration with us and you were presenting a paper, workshop or sharing session, in addition to the terms above, your paper will be removed from the conference schedule and will not be included in any post-conference publication.
If you wish to cancel your registration, or you would like us to consider you for exceptional circumstances, please contact us.
Non-attendance
No refunds will be given to persons who do not attend the conference.
Alternates/Substitution Policy
If you are not able to attend the conference, but wish to send a representative in your place, you may seek permission for this from us by contacting us.
Cancellation by Us
We will strive to keep the conference running whatever the circumstances. However, we retain the right to alter or cancel the conference at any time. If we do have to cancel the conference, we will contact you as soon as we can and offer you a full refund of conference fees. We will not refund any accommodation or travel costs you might have arranged in relation to the conference.
Filming, photography, audio and podcasting
- The main plenary sessions will be videoed and these films may be made available on the Warnborough College conference website after the conference ends.
- Podcasts and audio recordings may also be taken and will be posted on the Warnborough College websites after the conference ends.
- In addition, photographs will be taken throughout the conference, with images posted to and used on the Warnborough Foundation and Warnborough College websites and related publications after the event.
- Films and photographs may be used to publicise future Warnborough Foundation and Warnborough College events.
- By attending this event you are accepting that you agree for your image to appear on a video or photograph from the conference, and that the Warnborough Foundation and Warnborough College own the right to use this in any way they see fit. If you feel uncomfortable being photographed, please indicate to the photographer if s/he sets up to take a photograph of you alone or in a small group. If you feel uncomfortable being filmed, then please refrain from asking questions during the plenary sessions.
Delegate list
We see our conferences as a wonderful way to network among like-minded professionals. Therefore, we would like to include your name, institution, country and contact details in the conference delegate list at the event and post event (hard copy and electronic versions). This will only be made available to attendees of the conference (this may include sponsors and exhibitors). You may choose not to have your contact details made public.
Liability
The delegate shall have personal liability for any loss, liability or costs (including reasonable legal costs) incurred by themselves in connection with the event.
Other Terms and Conditions
- All bookings for the conference must be made via the official booking form and must be paid for in advance.
- Every reasonable effort will be made to ensure that the published programme for this event is supplied. However, we reserve the right to modify the published programme and speakers.
- Opinions that may be conveyed by speakers are their own and not necessarily representative of the conference or of the Warnborough Foundation or of Warnborough College.
- Warnborough Foundation and Warnborough College will not accept responsibility or liability for the loss of, or damage to, personal belongings of conference delegates.
- Warnborough Foundation and Warnborough College reserve the right to change the venue or date of the conference. Announcement of any such modification will be sent to the email address provided by each delegate no later than 3 days prior to the date of the conference. The Warnborough Foundation’s and/or Warnborough College’s liability concerning such changes will be restricted to a participant fee refund if so requested.
- In the event of any force majeure Warnborough Foundation and Warnborough College will not be obliged to refund any booking fees paid. Neither party shall be deemed to be in breach of contract if failure to comply with the requirements of this contract is due to circumstances beyond their control. In such circumstances, where possible, either party should state in writing to the other party as soon as is reasonably practicable the reasons for being unable to fulfil its duties and obligations under this contract.
- Warnborough Foundation and Warnborough College reserve the right to cancel this event at its own discretion, in the event of which Warnborough Foundation and Warnborough College’s liability shall be limited to a refund of any booking fees paid.
- The conference fee is non-refundable subject to the terms attached. You may nominate a substitute delegate in advance if you are unable to attend.
- Your booking is confirmed only on receipt of payment. Attendance at the event will be refused if payment has not been received in advance.
- All conference materials will be available on our website(s) and keynote/plenary speakers filmed, with those films also being made available. IP rights remain with the Warnborough Foundation and Warnborough College and/or the owner of the IP to the original document.
Delegates are expected to comply with these Terms and Conditions, as well as any rules stipulated by the venue and reasonable requests of the conference organisers. If delegates fail to comply with any of these, we may be forced to end your attendance at the conference. By registering to attend an event, and booking your place at the conference you have confirmed that you have read and understood these terms and conditions.
Terms and Conditions for persons presenting papers, leading workshops or sharing sessions.
By submitting and presenting your paper, workshop or sharing session to KArtsCon, you are agreeing to the following:
- That the contribution is original, will not violate or infringe existing copyright or the right of any other third party.
- It will not contain anything defamatory, misleading or otherwise unlawful
- You have full responsibility of obtaining permissions for the inclusion of any third party copyright material
- Authors retain the rights to their individual papers included in the proceedings, and by submitting their work for presentation at the Conference, authors grant a royalty-free, non-exclusive licence to the Kent Arts Conference to reproduce the contribution throughout the world in all forms (present, future and contingent, and including all renewals, extensions, revivals and all accrued rights of action).
- The Warnborough Foundation and Warnborough College will have the right, where we consider it necessary, to revise, edit, amend and correct the contribution in the interests of the relevance, consistency and quality of the style and content of the proceedings as a whole.
- The Warnborough Foundation and Warnborough College and their publisher and staff take no responsibility and accept no liability whatsoever for the accuracy, impact, or consequences of any paper published in the conference proceedings, whether refereed or not. Papers reflect the authors’ opinions, not those of Warnborough College, their publisher(s), or their staff.
